A full digital transformation delivered in eight weeks — turning a cancelled congress into a record-breaking virtual event and establishing a permanent resilience framework.

About the Organisation
EULAR's annual Congress of Rheumatology is one of Europe's largest medical congresses, bringing together 15,000 clinicians, researchers, patients, and industry partners from over 130 countries. In March 2020, three months into a new Communications Manager role, the COVID-19 pandemic forced the complete cancellation of the in-person event — with eight weeks until the scheduled dates and a global infodemic creating an urgent parallel communications challenge.

The Oportunity
The response was a simultaneous dual-front operation: a year-round health information programme for patients and physicians, and a full pivot to a broadcast-quality virtual congress. In eight weeks, a live broadcast platform was built, a 360° social media strategy deployed, physician and patient guidance repositories created, and a unified global messaging framework developed and distributed to all stakeholder communities and national partners. Sponsor relationships were managed through direct communications that maintained revenue and confidence throughout the uncertainty.
The result was a 30% increase in global participation — 18,753 delegates at peak — the highest-viewed patient guidance video in the organisation's history, full sponsor revenue retention, and a permanent digital resilience blueprint that became the foundation for all subsequent hybrid events.
